As a key member of our operations team, the Business & Procurement Manager ensures the seamless execution of each design project by overseeing every stage of the procurement lifecycle. From initial quoting to coordinating orders, tracking logistics, managing vendor relationships, and supervising on-site installations, this role is instrumental in bringing our design vision to life with precision and efficiency.
OVERVIEW
The Business and Procurement Manager plays a vital role in executing our projects seamlessly by managing the entire procurement process from initial quote requests through installation. This includes product sourcing, purchase orders, budget tracking, vendor coordination, shipment tracking, on-site delivery management, and final quality checks.
RESPONSABILITIES
Procurement & Order Management
Create, process, and manage invoices and orders for furniture, lighting, décor, and materials for our client’s.
Maintain up-to-date vendor pricing, inventory availability, and product lead times
Reconcile invoices, manage payment timelines, and assist with resolving vendor discrepancies
Working with lead designers on procurement updates and pricing.
Tracking & Logistics Coordination
Track all orders from confirmation through delivery
Monitor and update procurement status sheets for internal team visibility
Coordinate delivery logistics with receivers and delivery teams to meet installation timelines
Coordinate claims with vendors and R+D teams for resolutions.
Inspect deliveries and manage any damage claims or reorders in collaboration with vendors
Forecast and manage potential delays or backorders, providing proactive solutions to the team
Project & Client Communication
Attend design meetings and provide procurement insight for lead times and product availability
Communicate directly with clients at designated project milestones to update them on timelines and item statuses.
Invoice interior design proposals and begin onboarding before handing over to lead designer.
Collaborate with the design team to suggest alternates when products are discontinued or delayed
Prepare procurement reports and summary sheets for internal and client reference
Track and enter project times and invoice as clients as needed.
Install Day Execution
Be physically present at installations to check in all items, help direct placement, and ensure quality standards
Coordinate with designers and delivery teams to oversee troubleshooting
Document all installs for internal review and provide summaries of any incomplete or damaged items.
IDEAL CANIDATE
2+ years of experience in procurement, supply chain, or logistics—ideally in interior design, architecture, or retail
Strong organizational and project management skills
Google Sheets proficiency for inventory and budgeting
Proactive communicator with a solutions-focused mindset
Calm under pressure and able to juggle workloads and timelines
Passion for interior design and attention to aesthetics and detail
Direct communication that is client experience focused
